Account setup
After your application was accepted, you'll receive an email with instructions how to log into your site and select your own password. In the following sections, we'll guide you through the process of uploading your first document and enabling AI Search. Keep in mind that your access to the platform will expire in 3 months unless otherwise stated, we'll be in touch before the end to discuss next steps.
*Note* for existing clients
If you are an existing Konveio user experienced with adding documents to your own platform, the process is largely the same. The only new thing you'll want to do is visit Step Three and enable AI Search.
Creating your first document
Don't be fooled by our long tutorial page. There are only a few quick steps that we've spelled out at length, but it should take you about 3 minutes or less to add a document, then up to 1 minute of waiting for AI Search to be ready to explore.
FROM ZERO TO LAUNCH
For a 5-minute tutorial on the general basics of uploading your first document, watch this video (This video contains features only available to paid subscribers). Just remember to swing back around for Step Three to enable AI Search.
STEP ONE: Add a new document
- After setting your password, visit the Documents tab (from the black navigation bar on the top).
- Click “Add New Document” in the center of the page.
STEP TWO: Name and upload your document
- Fill out the title field.
- Select and upload your document. (There is a 25 MB limit.)
* STEP THREE: Enable AI Search *
- (Visit the editor tab of the document in question - if you skipped the last section)
- Scroll to the bottom to find the AI Tools menu tab.
- Enable the AI Search checkbox and then save your document.
- Be patient, magic takes time! After 1-2 minutes, AI Search will be ready to help you explore your document! Keep in mind, the longer a document is, the longer your wait may be.
STEP FOUR: Click Save
STEP FIVE: Ask questions, play with settings, explore, and spread the word!
- There is nothing stopping you from sharing your project with others to receive feedback.
- However, Konveio allows you to take your pdf to even greater heights.
- Or continue on to further enrich and curate your participant’s experience
Here are some of the administrative control and customization options:
- AI Search and AI Assistant Toggle switch allows you to decide which approach you’d like to take on a document by document basis. Perhaps you’d like to allow visitors to receive quick AI generated responses to questions about a parks plan, but not a zoning code or vice versa in the event that one is a draft for review, and the other is an official policy embedded to your official website. You’re able to manage the risk and reward on your own.
- Minimum Relevancy Score slider is your way of expanding or limiting the results visitors will receive on a document by document basis.
- Welcome messages prompt visitors to ask a question. We've provided a default prompt that you can edit or replace for your own needs.
- AI Search displays a standard response to any question, but it can be customized. By default the response is “You can find answers to your question on the following pages:”

Tips & Tricks: How to explore and use AI Search
- If you're not very familiar with the document you uploaded, scroll to random pages of the document and read something, then come up with a question about the information to test AI Search.
- Search for things you already know.
- Ask what pages a given topic can be found on.
- Ask general questions about specific areas or places addressed in the plan.
- Ask it to summarize a specific policy.
- Locate questions that real stakeholders have asked project staff about, and try asking AI Search similar questions to compare notes and findings.
- Share a link to your chat history with us or a colleague.
- But don't just listen to us! Push the limits however you please, and then tell us how it goes (send an email to feedback@konveio.com).

Documents that work the best:
This list will grow over time with more experience and innovations.
- Well-structured PDFs, where new chapters or subsections start on separate pages.
Known limitations:
This list may grow over time with more discoveries (or shrink with further updates and innovations).
- Documents that are image-based or scanned will not work and are not recommended even if they have been scanned using OCR (Optical Character Recognition).
- Tables & Infographics: Documents with lots of vital information placed into tables or graphics and not in the text may prove difficult for generative AI to parse and use in its responses. An example of this is a large Allowable Uses table in Zoning Code documents.
- Multiple Documents: AI Search will keep chat history visible when switching from one chapter (or PDF File) to another, but currently only provide answers for the active document.
- In complex documents, where answers depend on a careful cross-reference of multiple sections, AI Assistant may not produce reliable answers (e.g. Zoning codes, where the correct answer depends on looking at a map, then a large Allowable Uses table and from there a few different chapters). However, AI Search should still guide visitors to the appropriate areas of the document for consideration within a few queries.

1: CREATING A CONTENT OVERLAY
Who feels a sense of joy from receiving an extensive list of hyperlinks and instructions? Most find them overwhelming to approach and are placed on the back burner as a result.
Content overlays will elevate your pdf as the hub for all additional resources, leaving you just one link to share in your outreach for feedback. This approach leaves participants feeling comfortable getting started while equipping them to dive deeper at the right moment in their journey.
Typical use case: Have a video covering a topic that's shown on page three of your document? Add a content overlay to the page and allow visitors to watch the video without leaving the page. The same goes for maps, images, audio, Google Street View, external links, and more.

Step one: View your document as an administrator and select “Add Pins” from the far right end of your navigation menu.
Step two: Create a pin and bring up an editor window. Either click anywhere on a specific page, or select the new + icon on the sidebar. Selecting the sidebar will allow your overlay to span a range of pages while a pin on your page will be more specific and obvious to participants.
Step three: Write a description and select a unique icon from our list.
Step four: Input your link, copy a youtube link, or paste an embed code.
Final Step: Click save and then preview, reposition, or edit your overlay until it's just right.
2: CREATE A SUMMARY OR GUIDED TOUR

The process to create a summary or guided tour is rather similar.

When your document is long, and certain topics need feedback more than others, how will you emphasize the important pages for participants to focus their attention on? Guided tours are the answer, and they’re straightforward to set up.
Step one: In the view tab, define which pages you wish to direct people’s attention to, and count and write down their page number shown in the navigation menu.
Step two: Enter the edit tab, scroll to the options menu at the bottom. Select Step by Step Guide.
Step three: Add a step for each important page. Then write a description for each page as needed.
Final step: Click save and explore your new guided tour!
3: MANAGING PROJECT PRIVACY

Hoping to keep outsiders from viewing or participating?
Set a password to share in your outreach email alongside your project link. It’s easy and effective.
Step one: Visit the editor tab of the document in question.
Step two: Scroll to the bottom of the page and find the password field.
Step three: Draft a unique password, and click save.
Now, everyone will need to enter the password to view your document.
4: EMBEDDING YOUR DOCUMENT
Streamline the participant experience by embedding Konveio into your own website, or allowing partners to host it on theirs.
It’s as simple as copying the code from the embed tab and pasting it into the other website or platform.
In the event that you wish to have your document accessible only on a different website, you may check a box near the password creation field to eliminate access to your document on basic.konveio.com.
